Position Title:
Coordinator, Group Sales

Department:
Guest Services

Reports To:
Events and Group Sales Manager

Summary:
Group Sales coordinator is responsible for providing top caliber sales and service for all corporate and private events. Working with the related departments, the Group Sales Coordinator will market for events in external markets, increase Lupazoo awareness within the community, and as a tourist destination by carrying out the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES: RESPONSIBILITIES include the following. Other duties may be assigned.

  • Market events to external markets through direct mail pieces, advertising, participating in trade shows, participating in professional associations (Greater Seattle Chamber, NACE), cold calling potential clients, etc.
  • Develop and implement marketing initiatives & sales materials
  • Update & maintain current sales materials - packet (update outdated prices), CD, web site, pictures (create photo album & display pictures), etc.
  • Coordinate with Gray Line of Seattle to market the Lupazoo as a tourist destination
  • Market Group Sales events to internal Lupazoo departments to improve overall perception and buy-in
  • Supervise seasonal employees & work jointly with the Catering Manager to supervise catering staff
  • Answer all Group Sales phone & web inquiries
  • Lead site visits
  • Design sales proposals
  • Lead group sales client presentations, representing all involved Lupazoo departments when making initial sales presentation
  • Coordinate meetings with catering manager & client
  • Design/diagram layouts for events
  • Evaluate contracts
  • Responsible for creating & mailing contracts and invoicing clients
  • Sale & production of admission, pony ride & exhibit tickets
  • Sale of Lupazoo animal experiences, animal Olympics, tours, and Scavenger Hunt
  • Sale of Lupazoo Store merchandise (partner with Lupazoo store)
  • Sale of Face Painting & temporary tattoos
  • Coordinate outside equipment rentals (Partner with Aramark to decrease costs)
  • Responsible for the on-site coordination of all Group Sales Events (200+ events a year)
  • Communicate with all Lupazoo departments impacted by a Group Sales event - Events team, Catering, Admissions, A/V, Visitors Assistance, Education, Animal Management, Maintenance, Security, etc.
  • Send a personal thank you note to every client
  • Create a system to track and reconcile all late payments
  • Develop systems to track Group Sales revenue & expenses
  • Assist the Events & Group Sales Manager in developing & managing the Group Sales budget
  • Input weekly sales info into Group Sales Log
  • Assist in other Lupazoo events (Halloween, Bunny Bounce, etc.) as needed
SCHEDULE:
Ability to work a non-standard/flexible schedule which may include weekends, evening or holidays.

SUPERVISORY RESPONSIBILITIES:
Works jointly with Catering Manager, who supervises a total of 10 employees in the Catering Department, and Events team. Is responsible for the overall direction, coordination, and evaluation of this unit. Responsibilities include planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE:
Associate's degree (A. A.) or equivalent from two-year college or technical school; or two plus years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS:
Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
